Financial notes: customer credits and supplier debits

A customer credit note reduces the customer's receivable; a supplier debit note reduces the amount payable to the supplier. Use them for a financial discount or correction after invoicing; they do not record stock movements or cash payments.

Before you start

Select the correct company and verify permissions. Learn in a test workspace; posting or restoring can change actual data.

Workflow

  1. 1Open Accounting → Financial notes and choose New note. Select a customer credit or supplier debit, then choose the correct party.
  2. 2When correcting a particular invoice, select it from the party's posted invoices with an outstanding balance. Check its number and balance; a linked note cannot exceed that balance.
  3. 3Enter the date, a positive amount, the reason and any necessary notes. A linked invoice fixes the note's currency and exchange rate; an unlinked foreign-currency note needs a suitable saved rate for its date.
  4. 4Save a draft for review, or post after checking it. Open the note from the list and verify its type, party, amount, currency, reason and linked invoice before posting a draft.
  5. 5After posting, confirm the status and check the party balance, any linked invoice balance and the accounting entry. Use the date, status, type and search filters to find the note, and print it when needed.
  6. 6If the note is incorrect, open it, choose Cancel and review the confirmation. Cancelling a posted note creates an accounting reversal and releases its invoice application; verify the balances before recording a replacement.

Watch this distinction

A financial note does not receive returned goods or refund cash. Use a return document for stock movements and a payment or receipt voucher for cash movements. Avoid reducing the same balance twice with both a note and a manual entry for the same correction.

Verify the result

Reopen the record and check saved values and state. For financial operations, compare the document with the relevant movement and report before continuing.
