Import data from spreadsheets

Import helps enter many records. Reference files differ from backups; importing items or parties does not restore a company to a prior date.

Before you start

Select the correct company and verify permissions. Learn in a test workspace; posting or restoring can change actual data.

Workflow

  1. 1Choose data type and use the available template, keeping an original file copy.
  2. 2Map columns and inspect codes, dates, numbers, currencies and units.
  3. 3Inspect preview, errors and duplicates; correct the source before applying.
  4. 4Start with a small file, then inspect sample records and resulting count before importing the rest.
Captured in local preview. Names and balances are samples; controls can differ with permissions and activated products.

Watch this distinction

Do not retry an entire file after partial failure without inspecting results; some records may already exist.

Verify the result

Reopen the record and check saved values and state. For financial operations, compare the document with the relevant movement and report before continuing.
